Event Volunteers

Always needed and grateful for the extra hands to help things run that little bit more smoothly. Events listed under the Events tab above and further details on what is roughly entailed below.

PTA Members

Members contribute to monthly meetings, form sub teams to plan events and help regularly.  Our Members are invaluable – without them our fayres, discos, cake sales, bedtime stories and other events simply wouldn’t happen.

Volunteers (without a DBS)

Help when and where they can. 30mins-1hour on a stall at fayres or at cake sales. Helping with preparation for events where DBS not required.

Volunteers (with DBS)

As those without a DBS, however they can help with Bedtime Stories and Discos at times when a DBS is required.

Organisers (DBS not required)

Help with the planning and organising of events such as Christmas or Summer Fayres and social events. This can be specific events as a one off or if you love to organise as many as you want! Usually working with a group of other volunteers to collectively prepare for the scheduled events.

Meeting attendees (DBS not required)

Involved in the discussions on all things PTA. They bring fresh ideas for the events scheduled and help the committee improve and build on the PTA all whilst enjoying a cuppa and cake! Attending a meeting does not mean you will be pushed into taking a role.  There are 7 meetings a year.

PTA Committee

The PTA Committee is made up of several key roles and those associated responsibilities are set out below.  Together the Committee leads the PTA and co-ordinates fundraising and events.

Elected Roles (Mandated): As per the PTA constitution these Committee roles are allocated at the Annual General Meeting. Without a Chair, Secretary and Treasurer we cannot have a PTA.

Chair

• Co-ordinates the overall running of the PTA ensuring that fundraising, events and activities take place across both sites.

• Works closely with the other committee members to ensure the PTA is run effectively.

• Co-ordinates liaison with the Senior Management Team, for example to agree schedule/dates of events and discuss requests for funding.

• Sets the agenda for meetings.

• Manages meetings (along with Vice Chairs), ensuring that everyone has an opportunity to contribute.

• Works with Vice Chairs to welcome and involve new members.

• works with the Treasurer, signing cheques as required.

• Supports sub teams in the planning of specific events and activities.

• Works with the Secretary to ensure that the PTA is run in line with the requirements of its constitution and charitable status.

• Leads preparation of the Annual Report.

Secretary 

• Takes minutes at meetings.

• Prepares and distributes notes of meetings.

• Sends out details of meeting dates, agendas, requests for help etc.

• Co-ordinates general PTA (non site specific) correspondence.

• Regularly reviews the PTA email account.

• Manages records – contacts, distributions lists etc.

• Supports Publicity Officer in the preparation of letters etc.

• Supports Vice Chairs to do photocopying and general admin tasks.

• Supports the Chair to ensure that the PTA is run in line with the requirements of its constitution and charitable status.

• Supports the Chair and Vice Chairs to prepare the Annual Report.

Treasurer 

• Maintains full and transparent financial records and manages banking and transactions.

• Prepares and co-signs cheques as required.

• Ensures that payments and reimbursements are made in good time.

• Records income and expenditure.

• Withdraws money to provide a cash float for events.

• Counts and banks cash from events.

• Prepares annual accounts and financial report for AGM.

Elected Roles (Not Mandated): Roles that are needed to help the PTA to run.

Vice-Chairs (one each site)

• Co-ordinates planning of local events and activities and works with event sub teams.

• Liaises with local headteacher.

• Supports Publicity Officer and local sub teams for example by assisting with letters and tickets and helping to find helpers for events and activities.

• Co-ordinates first aid and DBS for local events.

• Arranges resources – looks after shed and co-ordinates supplies (e.g. milk and biscuits).

• Deals with site specific correspondence – collects from office and responds/passes on as appropriate.

• Encourages new parents to join the PTA or help at events.

• Ensures that money raised at local events is passed safely to the Treasurer.

• Keeps float for use at smaller events.

• Stands in for the Chair should the Chair not be present at a Committee meeting.

• Assists the Chair in running meetings.

• Works with the Chair to prepare the Annual Report.

• Assists with photocopying for local letters etc.

IT and Website lead

Designs and manages the PTA Website

Assists with technical knowledge and expertise.

Producing promotional videos

Social Secretary

• Co-ordinates parent social activities for the PTA.

• Liaises with sub teams organising social events (sub teams may not necessarily be PTA members).

• Co-ordinates coffee morning for new parents at each site, working with the local Vice Chair.

Publicity

• Supports event sub teams to publicise events and encourage involvement from the wider school community.

• Prepares letters, tickets, posters etc for events.

• Co-ordinates with Vice Chairs and event sub teams to distribute publicity materials.

• Produces newsletter (taking text and contributions from the wider PTA).

Non-Elected Roles: Whilst they are not elected these roles are essential points of contact.

Cake Sale Co-ords (one each site)

These organise letters to the class posters to advertise the cake sales, liaise with year reps for volunteers and run the sale on the day. The cake sales are held on Fridays on 7 dates throughout the year.

Year Reps (one per class)

Act as a class point of contact. Liaise with the teacher to ensure that the parents have all the information they need. Often, they use Facebook or messenger groups to share messages from school. They can also help the PTA by getting volunteers for cake sales.

Uniform Sales

Gather uniform donations from both school sites, ensure they are clean and of good reusable quality. Liaise with the Uniform Co-ordinator. Manage the sales of this uniform, via the central email system/Uniform Co-ordinator. Manage the Uniform sales stall at the Fayres.
